I cover Android with a focus on productivity, automation, and Google’s ecosystem, including Gemini and everyday apps. With a background in engineering and software development, I tend to go beyond surface-level tips.
Before joining AP, I wrote for tech publications such as Gizbot in 2023 and iJunkie (formerly known as iPhoneHacks) from 2021 to 2022.
I have used Gmail for years, but I suspect I have barely scratched the surface of what it can do.
It is easy to treat it as a place to read messages, send replies, and occasionally search for an old email. But Gmail has several built-in tools that help me get more done.
From automatically sorting incoming messages to turning emails into tasks, here are the Gmail productivity features I think more people should use.
Gmail filters sort my inbox automatically
Keep incoming emails organized
My inbox gets a little harder to manage every time newsletters, shopping updates, automated notifications, and important messages land together.
Instead of sorting everything manually, I use Gmail filters to automate the process. For example, I have a filter that automatically applies a Newsletters label to emails from my favorite publications and archives them.
They stay accessible under that label without competing for attention alongside messages I need to deal with immediately.
You can also set up a separate filter to label emails from a particular sender or flag messages containing a specific subject line, making it easier to spot.
To create a filter, open Gmail on the desktop, click the search options icon beside the search bar, and enter criteria such as a sender's address, subject, or keywords.
After clicking Create filter, choose what Gmail should do with matching messages and save the rule.
You can also open an existing email, select the More menu, and choose Filter messages like these to start with its details.
I turn emails into tasks without copying everything manually
Keep track of tasks hiding in the inbox
Some emails are really to-do items in disguise. It could be a request to review a document, a reminder to book an appointment, or a message asking me to follow up on a particular detail.
Instead of leaving these emails in my inbox or copying their contents into a separate to-do list, I turn them into tasks in Gmail using Google Tasks.
On the desktop version, you can open an email and use the Add to Tasks option in the toolbar or More menu. This creates a task linked to the original message, letting you keep the email as a reference while tracking the work separately.
On Android, open the email, tap the three-dot menu icon in the upper-right corner, and select Add to Tasks.
You can organize the task later in Google Tasks and add a due date when needed. This is useful for messages that require follow-ups.
Schedule Send helps me write emails on my own time
I schedule emails to send at a better time
I don't always write emails at the most convenient time. Sometimes, I might compose a reply late at night, or I draft a message before the recipient needs to see it.
Rather than leaving it in my drafts and remembering to send it later, I use Gmail's Schedule Send feature to choose when it should reach the recipient.
To use it on the mobile app, tap the three-dot menu in the upper-right corner after composing an email in Gmail, and select Schedule send. Then, choose one of Gmail's suggested times or pick a specific delivery date and time.
On the desktop, the option appears in the dropdown next to the Send button.
Gmail holds the message until the scheduled time, and you can view it in the Scheduled folder. If plans change, you can cancel the scheduled send and edit the draft before scheduling it again.
Let Gmail handle the repetitive messages
If I frequently send similar emails, writing each one from scratch feels tedious. Gmail's built-in Templates feature lets me save commonly used email text and insert it into new messages.
To enable it, open Settings, select See all settings, and go to the Advanced tab. Enable Templates and save the changes. When composing an email, you can write the text you want to reuse, open the More options menu in the compose window, and save it as a template.
Next time you need that message, you can insert the saved template and adjust the details instead of starting from scratch.
I use this feature for routine work updates and appointment confirmations. I still review each message before sending it, particularly to replace names, dates, and other details that change from one recipient to another.
Gemini helps me find information buried in my inbox
Finding old emails is much easier
Searching for an old email can be frustrating when I remember what it contained but can't recall the recipient or subject line.
I could try different keywords in Gmail's search bar, scroll through the results, and open messages one by one. But I prefer using Gemini.
For example, if I'm trying to track down travel details, I can ask Gemini when my flight is scheduled or when a package is expected to arrive.
To use it on Android, I open the Gmail app, tap the Gemini icon, and type the question. I can ask, "When is my next flight?" or "Catch me up on the emails about our upcoming trip."
I can also ask it to catch me up on an ongoing conversation or find information shared across emails about a particular topic. This is useful when details are scattered across multiple messages, and I don't want to piece everything together manually.
Gmail's productivity tools make a real difference
Gmail has plenty of useful features beyond sending messages and searching my inbox.
Filters sort incoming emails automatically, Google Tasks helps me track what I need to do, and Schedule Send lets me write messages when it's convenient without sending them immediately.
Templates are another handy shortcut for repetitive replies, while Gemini helps me find information buried in old emails and catch up on lengthy conversations.
