Key takeaways
- The easiest and most reliable way to check a student's NEMIS (UPI) number is through their school, as school administrators have full access to learner records and can verify details instantly.
- Parents and guardians generally cannot access the NEMIS portal directly, but schools and sub-county education offices can assist in retrieving a learner's UPI through the official system.
- There is currently no official SMS service for checking a student's NEMIS number. SMS is only used during registration and verification processes.
The National Education Management Information System (NEMIS) is the web-based platform operated by Kenya’s Ministry of Education to manage learner data nationwide. This number remains with the learner throughout their educational journey, from early childhood development education (ECDE) through primary, secondary, and tertiary levels.
Below are the most reliable ways to check your child's NEMIS number.
Checking via the child’s school
The Ministry of Education recommends this as the most reliable way to check student NEMIS number online. This is because parents do not register directly on the NEMIS portal but rather with the school that manages learner data entry. Below is a step-by-step guide to doing so.
- Contact the class teacher, deputy headteacher, or headteacher of your child’s current school.
- Request the learner’s NEMIS/UPI details. Provide your identification (e.g., national ID) and the child’s name or admission number for verification.
- Ask for a printed or digital copy of the learner’s record showing the UPI.
- Enquire about any missing guardian details or required updates.
- If the child recently transferred or joined, confirm the UPI has been activated in the new school’s system.
- Request confirmation that the details match the birth certificate to avoid future issues.
Checking via the NEMIS portal (limited parent access)
Direct parent login is restricted, but some schools or sub-county education offices may facilitate access for viewing or searching.

Below are the steps to follow.
- Visit the official NEMIS portal using a computer or compatible device (recommended browsers: Google Chrome or Mozilla Firefox).
- If you have credentials (rare for parents; usually school-based), log in with username and password.
- Navigate to the Learners module.
- Use search functionality by entering the child’s name, previous school index number, KCPE index (if applicable), or known partial details.
- Review the displayed record for the UPI code.
If you lack access, visit your sub-county education office with identification and request assistance. Do not attempt unauthorised registration, as the portal warns parents against it.
Can you check a student NEMIS number via sms?
No, there is currently no official public SMS service for parents or guardians to check a student’s NEMIS (UPI) number directly. SMS can be used only during registration or activation. When a school enrols a child, the system may send a one-time password (OTP) via SMS to the registered guardian’s mobile phone for verification.
Once the OTP has been successfully entered, the Unique Personal Identifier (UPI) may be shared with the school and, in some instances, sent automatically by SMS to the parent or guardian’s registered number.
FAQs about how to check student NEMIS number
Below are some additional questions and answers addressing additional concerns about the NEMIS number.
What is the NEMIS portal?
In an interview with TUKO.co.ke, Paul Onami, a senior teacher at Alliance High School, noted that the NEMIS portal is an important government-run digital platform that manages education data in the country. He explained:
The National Education Management Information System (NEMIS) is a government-run digital platform designed to manage education data across the country. It keeps records of each learner, from their admission to exit, including personal details, school transfers, and academic history. For instance, when a student transfers from a school in Kisumu to one in Nakuru, NEMIS updates their record instantly, ensuring no learning time is lost.
NEMIS isn’t just for government use—it also helps parents and guardians stay informed. For example, when applying for a bursary, a parent in Bungoma can easily use the learner’s Unique Personal Identifier (UPI) to confirm eligibility. It also allows guardians to confirm if their child is officially registered in a recognised school, reducing cases of fraud.
How can you view student NEMIS number by name?
You cannot directly search for a student's NEMIS/UPI number by name on the public portal. To locate this number, you must contact the school administration or log in to the official Ministry of Education NEMIS system as an authorised school user.
Why does the UPI number matter?
The Unique Personal Identifier (UPI) ensures that each learner is recognised through a single record that connects personal, academic, and administrative information. It enables accurate monitoring of enrolment and academic progression, supports the allocation of resources such as textbooks and infrastructure, and facilitates integration with KNEC assessments, including KPSEA, KJSEA, and national examinations.
What are the requirements for students to get NEMIS numbers?
Schools carry out the initial NEMIS/UPI registration using key learner and parent information. This includes the learner’s full name as it appears on the birth certificate, date of birth, gender, nationality, home county and sub-county, and birth certificate number, which serves as the primary identification document.
How has NEMIS impacted education?
According to the senior teacher who spoke to TUKO.co.ke, NEMIS has significantly improved the management of educational data, which is crucial for the Ministry of Education. He stated:
Teachers often struggle to access the platform, especially during data entry periods. For instance, a teacher in Turkana might face login issues because of poor internet or system overload. Some have to travel long distances to education offices to get support—imagine a teacher spending over two hours to reach a sub-county ICT officer just to fix a login error. These challenges are frustrating and time-consuming, especially in remote areas.
Despite the hiccups, NEMIS has made a big difference. Headteachers can now submit enrolment reports with just a few clicks, rather than filling out endless paperwork. This streamlining has also helped the Ministry of Education to plan better, for example, by using real-time data to know which counties need more teachers or classrooms.
Final word
Knowing how to check student NEMIS number is an important step in ensuring that their education records are accurately captured and maintained within Kenya's National Education Management Information System. While parents and guardians cannot directly access the NEMIS portal in most cases, the most reliable way to obtain a learner's UPI number is through the child's school administration.
